Main objectives of the position
The Finance & Administration Manager reports to VP Finance & Controlling of IXS division (solid line), Country General Manager Canada (dotted line) and VP Group Controlling & Accounting (dotted line).
The incumbent plans, organizes and executes financial and administrative tasks and projects of the organization. The holder of the position is the head of the finance function for the Canadian entity within an international organization and acts as a strategic business partner of Country General Manager.
Main duties and responsibilities as Finance Manager
- Plan, organize and execute financial and administrative tasks and projects of the organization
- See the big picture and be the right hand of the Country General Manager. Act as strategic business partner.
- Oversee accounting, legal entity administration for the company’s Canadian legal entity ensuring accurate and on-time financial closing and compliance with country specific legal and regulatory requirements.
- Complete financial reports, including but not limited to financial statements, financial forecasts, budget reports, tax returns, and lead the month-end closing process. Ensure that closing and reporting deadlines are fully met.
- Ensure detailed reconciliation of the local accounts
- Work together with internal and external audit team to ensure timely and appropriate audit procedures on the company’s accounts
- Establish procedures for control of assets and records (contracts, board documents, financial statements), etc. to ensure safekeeping.
- Plan, direct and coordinate professional relationships with banks, external accounting partners, audit companies, landlord, insurance companies, public authorities, and other organizations/ institutions.
- Partner with Country Manager to prepare financial forecasts and analysis as well as development of the company’s strategic mid-term and annual operating plans.
- Drive cash generation through management of working capital.
- Prepare and execute on functional budgets, providing analysis of actual costs versus budgeted costs and drive actions to work within budgets.
- Build and maintain strong business partner relationships within the local organization, global peers/ colleagues, and group functions. Support management to ensure that the financial health of the organization is maintained/ optimized.
- Partner with group corporate functions and finance managers from other subsidiaries to ensure smooth processes and ways of working.
- Manage in a timely manner all local compliance matters including legal, tax (direct and indirect) etc. as well as ensure local compliance according to internal governance (authorization matrix, group policies, key controls). Ensure compliance with local accounting standards for local ledger and group accounting manual (IFRS) for IFRS ledger.
- Coordinate local board meetings.
Main duties and responsibilities as Administration Manager
- Fulfillment of legal duties and obligations; Ensure policies are in place and respected, gives binding instructions to the employees of the branch to fulfill the legal obligations:
- Export Control (Trade Compliance)
- Product compliance (e.g., CE, URL)
- Occupational health and safety
- Data protection
- Quality management (e.g., ISO 9001) if applicable
- Makes necessary and reasonable expenditures for the fulfillment of the legal obligations in compliance with the regulations of the Competence Matrix of the Comet Group
- Authority to delegate the incumbent tasks and duties to employees of the company
- Appointment of a representative in case of absence
- Duty to inform the management regularly about the circumstances of the Canadian legal entity, immediately in the case of issues of particular importance
- Signing of employment contracts; Support on-boarding and separation from staff in close collaboration with HR
- Acts as the lead financial and administrative representative of the site
What you bring with you:
Professional experience requirements
MUST- HAVE
- +5y proven experience as Finance Manager (accounting, reporting and tax)
- A solid understanding of IFRS accounting principles, local accounting principles, local laws, and statutory regulations
- Proficient user of finance software (Excel, Business Warehouse Systems and Management Information System e.g., Hyperion)
- Able to manage, guide and lead employees to ensure appropriate financial processes are being used and are always followed.
- BS/MA degree in Finance, Accounting or Economics
- Fluent in English and French
- Demonstrated success in process optimization through digital means, process efficiency
NICE-TO- HAVE
- International experience through internship, study abroad, assignment abroad etc.
- Prior experience in manufacturing, engineering of high-tech hardware and software
- Prior success in developing a team
